Facility Rental Policies
- Reservation of a facility requires a completed, signed agreement, (and damage deposit of $100 submitted within 48 hours after receipt of agreement). Rental fees are due a minimum of two weeks prior to the specified date of use or rental is automatically canceled. Make all checks payable to the Champaign Park District.
Please submit a separate check or cash in the amount of $100 for
the damage deposit. This will insure a quicker return. NOTE: writing
1 check to cover rental fees and damage deposit will delay refund
14 days or longer.
- The
Champaign Park District reserves the right:
a.) To approve or deny any request submitted for a facility rental
(approval will not be unreasonably denied).
b.) To cancel or to move to another Champaign Park District facility,
the scheduled activity due to scheduled Champaign Park District
function,
c.) To revoke any request previously granted, at any time it is
determined that the request contained any misrepresentation or
false statement, or that any condition set forth in the policies
governing the requests is not being complied with, or that the
safety of the participant in the activities of the applicant or
their patrons of or visitors to the facility is endangered by
the continuation of such activity.
- "The
Champaign Park District will not be liable for any claims for
injury or damages resulting from or arising out of the use of
the district's facilities or premises adjacent thereto. The renter
agrees to indemnify the Park District and hold it harmless against
any and all such claims, damages, losses and expenses. If requested
by the District, the renter shall carry insurance against such
claims and furnish the District with a certificate of insurance
evidencing the same."
- Renters
shall reserve facility no more than six (6) months in advance.
Exceptions may be made for special circumstances with the approval
of the facility supervisor (i.e. family reunions, wedding anniversaries,
wedding receptions).
- Renter
is responsible to see that all activities are properly controlled
and supervised. Adequate adult chaperons must be provided if group
members are under eighteen years of age. The Champaign Park District
must approve the chaperones. (One chaperone per every ten participants
under 18 years of age must be provided).
- Notice
of cancellation must be given to the Champaign Park District at
least seven (7) business days prior to the scheduled date of activity
(a 95% refund will be issued). Failure to comply will result in
forfeiture of any payments made.
- Facilities
will be opened fifteen (15) minutes prior to the hour designated
on the facility usage request form. Rental fees will include this
time.
- Renter is required to present his/her copy of the facility usage
form to the building opener at the time of arrival.
- Renter
MUST VACATE the facility at the time designated on the facility
usage request form. Failure to vacate will result in a $25 minimum
per hour (or any part thereof) service charge. (Arrangements for
extended hours may be made at least 48 hours PRIOR to the scheduled
date of activities).
- Building
openers will wait 1/2 hour but no longer for late arrivals. Building
openers will be paid in full for such occurrences.
- The
Champaign Park District will provide no equipment other than tables
and chairs unless otherwise specified on the facility usage request
form. Renters are responsible for their own set-up.
- No
admission fees may be charged or concessions sold on any Champaign
Park District property (unless stated in contract approved by
the Champaign Park District). Such action will result in immediate
ejection from the premises.
- On
occasion there may be more than one group utilizing a facility.
Please keep noise to a minimum. Renter must comply with the City
of Champaign Noise Ordinance.
- Park
District telephones are not available to renter (exception: emergency
situations).
- Renter
may not use any Champaign Park District facility as a mailing
address.
- There
are no provisions for renter to store items in Park District facilities.
- Pets
are prohibited in Park District facilities (exception: Seeing
Eye dogs or other approved service animal).
- Alcoholic
beverages ARE NOT permitted in any Champaign Park District facilities
unless the following conditions are met: (beer and wine only)
a.) Secure a permit for the use of an approved Champaign Park
District facility.
b.) Secure an Application for Permit to Serve Alcoholic Beverages
(beer and wine only) from the Park District office at 706 Kenwood
Road, Champaign, Illinois 61821. Complete, sign, and submit the
application along with $25.00 permit fee for residents or the
$50.00 fee for non-residents to the office of the Champaign Park
District no later than five working days prior to the scheduled
event. Complete, sign, and submit $50 license fee to the Liquor
Control Commissioner, City of Champaign, 102 North Neil Street,
Champaign, IL 61820 at least fifteen (15) working days PRIOR to
the date for which the license shall be issued along with a non-refundable
application processing fee of $30 (there are no exceptions to
this rule).
c.) Submit an acceptable certificate of insurance for host liquor
liability providing insurance coverage to the applicant, naming
the Champaign Park District as an additional insured. The minimum
acceptable policy is $1,000,000.00 combined single limit liability.
d.) Secure and submit a temporary liquor license from the City
of Champaign.
- No
smoking is permitted inside any Champaign Park District Facilities.
Drugs are not permitted in or on any Champaign Park District facilities
or property. Such use will result in immediate ejection from the
premises.
- Eating
and drinking is allowed in designated areas only.
- Park
District furniture is not to be removed or altered unless the
facility director has granted permission.
- No
tents or other structures shall be erected in any park without
approval of the Champaign Park District (The Park District does
not supply tents). Tents are $20 per tent per day and are generally
not allowed overnight.
- No
street shoes are allowed on gymnasium or dance floors. During
inclement weather, a second pair or rubber-soled shoes must be
carried into the facility for use during the activity.
- Renter is responsible for leaving the facility in the same condition
it was found. Renter is required to place trash in the containers
provided. The building opener will be provided with a checklist
to determine the cleanliness of the facility at the completion
of the rental. Failure to comply will result in loss of deposit.
The deposit will be utilized for such damages; (this includes
the facility left dirty, damage to any equipment or to facility
itself). If damages exceed the amount of the deposit, the renter
will be billed accordingly. Deposits, less amount retained for
damages, if any, will be mailed out/returned within one week of
rental.
- Outdoor
Facilities Only:
A park use permit may be required for any group of twenty-five
or more and permit holder agrees to comply with the City of Champaign
Noise Ordinance. Park use permits are free of charge unless permit
holder is holding a special event. Inflatable structures, dunk
tanks, etc., require approval and a certificate of insurance.
Minimum acceptable insurance policy is $1,000,000.00 combined
single limit liability naming Champaign Park District as additional
insured.
